It is important that all drivers of company vans complete a paper or Digital Vehicle Inspection Form:
· On a weekly basis and
· When changing to another van
While it is the employer’s responsibility to ensure the vans and cars are maintained and in a roadworthy condition; it is the driver's responsibility to inspect the vehicle on a regular basis and prior to driving another company vehicle.
Drivers can report issues via the Digital Van Inspection Form and in the case of emergency by contacting HQ.
1. If a driver has the same van for the week, a Digital Vehicle Inspection Form must be completed per week, unless there is a noticeable issue to report, in which case the Digital Vehicle Inspection Form must be completed immediately.
2. If a driver is receiving a van from another driver, a Digital Vehicle Inspection Form is to be done on handover by the driver receiving the van.
3. If a vehicle is being collected from a workshop or garage after repair work has been carried out, Digital Vehicle Inspection Form must be completed before leaving the workshop or garage.
4. All Digital Vehicle Inspection Forms are monitored and any repair work identified will be booked in as soon as possible.
5. If the Digital Vehicle Inspection Form is not accessible, then a paper version (copies of which must be kept in each van) must be completed and provided to the Administration Team at HQ.
Drivers of company cars are to complete a Digital Vehicle Inspection Form once per month.
